Paper Submission FAQ
Who is eligible to submit a paper?
We welcome submissions from individuals at all stages of their careers. There are no eligibility restrictions. You may submit regardless of your position, institutional affiliation, or academic degree.
Can I submit more than one paper for a single session?
Yes. Multiple submissions are welcome, and all papers you submit will be considered.
How do I update my submission?
To update your paper or add additional sessions for consideration, you can either email email siteworkshop [at] stanford.edu (siteworkshop[at]stanford[dot]edu) OR submit a new submission. Either way, your previous submission will be updated.
May I submit work that is still in progress?
Yes. Work-in-progress papers are accepted unless explicitly stated otherwise. We recommend that you submit an abstract at a minimum.
I can't find a submission link for a specific session. What should I do?
If you can't find a submission link for a specific session, the submission deadline for that session has likely passed.
What do I do if I missed the submission deadline?
We understand that unforeseen circumstances can arise and will do our best to accommodate late submissions where possible.
However, we cannot guarantee that late submissions will be reviewed, you are welcome to send your paper to siteworkshop [at] stanford.edu (siteworkshop[at]stanford[dot]edu) for consideration and include the following:

Is there a page limit or formatting requirement?
There are no page limits or minimums, and any standard academic formatting is acceptable.
We recommend submitting at least an abstract, and you are allowed to submit only presentation slides as well.
When and where will I receive the decision?
You will be notified by email within 2–5 weeks after the submission deadline. Please note that decisions may be delayed due to the volume of submissions.
I can no longer present, but my co-author could present instead. Would my submission still be considered?
Yes, your submission will still be considered. However, please notify us as soon as possible with the name of the new presenter so we have the correct information on file should your paper be selected.
Presenter FAQ
Will there be any opportunity for remote sessions or presentations?
No. All SITE sessions are held in person, and remote presentations are not available.
If you can no longer attend after being selected due to any circumstances, please email siteworkshop [at] stanford.edu (siteworkshop[at]stanford[dot]edu) immediately.
Will SITE cover all my travel expenses?
SITE provides a fixed travel subsidy based on the location of your home institution, as stated in your invitation. Please note that the subsidy may not cover your total travel costs.
Note: Travel allowances are provided to presenters only and are not available to organizers or general attendees.
I am presenting, but my co-author will also be attending the session. Can I transfer my travel allowance to my co-author?
Yes, but only if we are notified in advance at siteworkshop [at] stanford.edu (siteworkshop[at]stanford[dot]edu). You must confirm the transfer of your travel allowance to your co-author before your SITE session takes place. Otherwise, the travel allowance will be provided to you as the presenter by default.
I am no longer able to present at SITE. What are my options?
We understand that unforeseen circumstances may arise. If possible, a co-author may present in your place. If no one else is available to present your paper, you will need to withdraw your submission.

Why is my travel allowance reimbursement taking so long?
Due to the high volume of reimbursements across all SITE sessions, processing may take some time. To help ensure a timely reimbursement, please submit your reimbursement request form within 10 business days after your session ends and monitor your email for any follow-up questions regarding your submission. Thank you for your patience and understanding.
Can I be selected to present at multiple sessions?
Yes, you can be selected to present at multiple sessions. If you are selected for more than one session, you will be notified separately for each and will need to confirm your participation for each session individually.
Would it be possible to change the paper I present after being invited?
Yes, this is possible with the session organizers' approval. If you would like to change your paper, please contact the session organizers as early as possible before making any changes. This ensures that the new paper remains aligned with the session's focus and gives organizers sufficient time to plan accordingly.

Am I expected to attend the entire session?
Attendance expectations vary by session and will be communicated to you by your session organizers. In most cases, presenters are expected to be present throughout the entire session. If you are unable to attend on any of the scheduled dates, please notify your organizers as soon as possible in advance.
Due to an emergency, I can no longer attend my scheduled presentation. What should I do?
Please email us at siteworkshop [at] stanford.edu (siteworkshop[at]stanford[dot]edu) as soon as possible so we can notify the session organizers promptly. We will work with them to determine whether rescheduling your presentation is an option.
Please keep in mind that rescheduling may not always be possible depending on the session's schedule and timeline, so early communication is strongly encouraged.
Do I have to send in my presentation slides ahead of time?
No. We understand that you may wish to continue refining your slides leading up to your presentation, so advance submission is not required. However, please have your slides ready on a USB flash drive so they can be uploaded to the conference laptop before your presentation begins.
What is the presentation structure or format?
Presentation structure and format will vary by session. We will provide you with the specific details for your session, including the presentation format and any additional instructions you need to know.
Is there a dress code?
There is no formal dress code. However, most presenters tend to dress in business casual or smart casual attire.
Travel Allowance & Reimbursement FAQ
What is the reimbursement process for speakers affiliated with a Federal Reserve Bank?
Your Federal Reserve Bank administrator needs to email siteworkshop [at] stanford.edu (siteworkshop[at]stanford[dot]edu) with the invoice and all relevant receipts. Please ensure the invoice includes the following information:

If my co-author presents in my place while I still attend, are they eligible for the same travel allowance?
Travel support is provided to one presenter per paper only. If your co-author is presenting in your place, they will receive the travel allowance based on the location of their home institution. Please note that as the non-presenting author, you will not receive a travel allowance.
To process the reimbursement correctly, your co-author must indicate on their travel reimbursement form that they are presenting in place of the originally invited presenter.
How does reimbursement work if I plan to do a road trip using a rental car?
Reimbursement for road trips with a rental car is based on the cost of a comparable economy airfare rather than actual road trip expenses. Additionally, reimbursement will only cover travel days directly related to your SITE session, including the day before the conference, the days of the conference, and the day after.
Can the travel allowance be used to cover flights on all airlines?
No. SITE is funded by an NSF grant, which requires presenters to fly with airlines covered under the Fly America Act. Travel allowances cannot be applied to flights booked on airlines not included under the Fly America Act.
Examples of airlines not covered under the Fly America Act include, but are not limited to:
- British Airways
- Air Canada
- Air China
- Virgin Atlantic Airlines
Please review the Fly America Act guidelines before booking your flights to ensure your airline is eligible for reimbursement.
Can I book through Booking.com or another third-party site?
We recommend booking directly with the hotel rather than through a third-party site. This ensures you are able to obtain the itemized receipts required to meet Stanford's standards for proof of expenses.
If I extend my trip for personal travel, how will this affect my travel allowance?
Your travel allowance covers only expenses incurred during your SITE session dates, including flights, hotel, and ground transportation. If you extend your trip for personal travel, any additional costs beyond your session dates will not be covered. Stanford will compare airfare costs to determine the appropriate amount eligible for reimbursement under your travel allowance.
If I am traveling from another place/country instead of my home institution, how would that impact my travel allowance or reimbursement?
Your travel allowance is based on the location of your home institution, regardless of where your trip to the SITE session begins. Stanford will compare airfare costs from your home institution to determine the appropriate amount eligible for reimbursement under your travel allowance.
What receipts do I need to submit?
You must submit itemized receipts for all travel expenses. Please note that any expenses exceeding the maximum allowance specified in your invitation will not be covered.
Other FAQ
As a non-presenter, are there any travel allowances or subsidies available to me?
Unfortunately, none. Travel allowances and subsidies are available to invited presenters only. If you have questions about your specific situation, please contact us at siteworkshop [at] stanford.edu (siteworkshop[at]stanford[dot]edu).
How do I attend as a non-presenter?
Complete the registration form for each session you are interested in attending.
Note: If you register for every session but do not attend any of them, your registration will no longer be considered. This means your spot may be forfeited and you may not be prioritized in future sessions.
Can I get proof of registration for my visa application? (As a Non-Presenter)
SITE is a free event and participants are not presenting. Because attendance is not guaranteed, we are unable to issue official documentation that could be used to support a visa application.
